JOB PROFILE
In the position of Executive Assistant you are responsible for all administrative and secretarial activities in order to support the General Management. A challenging and responsible position with a variety of tasks from maintaining corporate relationships to the planning of business trips and international events. 
JOB DESCRIPTION

Our client expects the Executive Assistant to provide highly skilled administrative and secretarial support to the General Management by means of:

  • Organizing the office operations and procedures to increase efficiency; 
  • Establishing and maintaining work relations with a wide spectrum of employees, officials and general public;
  • Handling email traffic;
  • Composing and handling of correspondence in order of the management;
  • Providing typing services to the Manager and Subordinates;
  • Agenda management of the Manager and Subordinates;
  • Front and back office tasks: receiving guests and handle telephone calls;
  • Implementing procedures for schedules and the coordination and maintanance of business processes;
  • Checking deadlines of incoming requests to ensure the continuation of office activities;
  • Verifying invoices, processing accounts and calculating and submitting expense reports;
  • Research on restaurants & hotels and negotiate rates with hotels;
  • Organizing and planning of events;
  • Research on gifts and promotion materials for corporate activities;
  • All other possible administrative activities.

As an Executive Assistant it is very important to handle confidential information in an ethical way.

JOB CRITERIA

Our client expects a candidate who:

  • has a high school diploma (HAVO or equivalent).
  • has 3-5 years of relevant experience in the support of management.
  • has excellent communication skills in English.
  • is a team player and able to handle multiple tasks.
  • has excellent planning and organizational skills, a high efficiency level, a flexible attitude and eye for detail.
  • has affinity with the middle east culture.
  • has the ability to work strictly and with short deadlines.
  • has fast and accurate typing abilities.
  • has knowledge of the Microsoft Office Package.
  • preferably speaks French or Italian (not a must).
